# Shared mailboxes

> Receive, organize, and send submission correspondence through a shared MGA address.

Underflow uses Mailgun-backed shared mailboxes for submission and policy correspondence. Everyone in the MGA sees the same mailbox, so intake does not depend on one person's connected account.

## Mail views

The mailbox has four virtual views:

| View | What it contains |

| Inbox | Threads with live inbound mail |
| Sent | Threads with live outbound mail |
| Drafts | Unsent new-message drafts; reply drafts stay in their original thread |
| Trash | Threads containing a message a member moved to Trash |

A conversation with both inbound and outbound mail can appear in Inbox and Sent. Trash has **Restore** but no permanent-delete action.

## Inbound mail

Mailgun delivers each inbound message to Underflow by webhook. Underflow preserves the sender, recipients, body, attachments, and thread, then classifies the message for processing. Aurora reads work that is not automated or marketing mail: a submission can open a file, correspondence on a known file is handled there, and anything Aurora cannot place can become a question under Decisions.

The classification and its reasoning are stored internally but are not displayed as a routing note. Mail rows show sender, subject, preview, attachments, and date. Open a linked thread to see its file banner. Once a thread belongs to a file, future replies stay with that operating record. ## Work the mailbox

The toolbar supports refresh, newest or oldest order, and mark-all-read. Mark-all-read applies to live, non-draft mail; unread messages in Trash are not changed. Select one or more rows to mark read or unread, star or unstar, move to Trash, or restore. Inside a thread, move an individual message to Trash or restore it without deleting the rest of the conversation.

Use the newer and older controls to move between threads. The reading pane can appear on the right, below the list, or as a single view; each member chooses this under **Settings > Mail**. Phones always use the single-view flow.

## Outbound mail

Select **New message** to compose from the shared address. Messages support Reply, Reply all, and Forward, with editable recipients, attachments, automatic draft saving, and discard. Replies stay on the original thread and remain visible in Mail and on the linked file.

Each member can set a personal email signature under **Settings > Mail**. Aurora uses the desk identity from **Settings > Workspace**, not the member's signature. A reply Aurora has drafted but not sent waits above the linked thread for approval, edits, or rejection.

Taking over a linked file switches it to Manual. Mail continues to arrive, but Aurora takes no file turns until a member hands it back. See [handling mode](https://docs.useunderflow.com/platform/core-model.md).

## Provisioning

Underflow provisions the mailbox, sending domain, and webhook route for the MGA. The current workbench operates one mailbox and has no mailbox switcher or self-service provisioning. Contact Underflow to change the address or domain.
