- Accounting > Filings holds one monthly premium bordereau per program.
- Accounting > State filings holds one statutory transaction report for each eligible surplus-lines bind, premium-bearing endorsement, or cancellation return with a home state.
What enters a bordereau
The bordereau is built from the premium ledger, not from the policy’s current total. Premium-bearing bind, endorsement, cancellation, and reversal events create immutable ledger rows. Fees and taxes remain separate from gross premium; net due carrier is gross premium less commission. The booking date decides the program-month. The transaction’s effective date can be different. A reversal is a new row that offsets an earlier row; the original is never edited. For direct-bill business, the carrier collected the premium. The bordereau still reports gross premium and commission, but the carrier-settlement payable is zero; Underflow does not create a remittance from Premium Trust. Agency-bill and MGA-bill transactions contribute their net carrier amount to the payable. Open Accounting > Filings to see every program-month with ledger activity. A current or older period can appear as Not filed before its program’s deadline.Monthly filing
Each program defines how many calendar days after month-end its report stays open, at least one, so a month is never filed on a day it is still taking bookings. Underflow checks due periods daily at 11:00 UTC. The current Cyber program waits three days; another carrier can use a different deadline. Programs with no activity receive no filing. A missed run is caught by the next daily check, and re-running does not create a duplicate. Filing:- Stores the complete, versioned report and its integrity digest.
- Changes the filing state to Awaiting sign-off.
- Creates a carrier settlement in Ready.
- Prevents new ledger postings into that program-month.
- Creates a sign-off moment under Desk > Decisions.
Review and sign off
Open the Desk moment, or go to Accounting > Filings and select the program-month. The moment takes you to the report; sign-off is available only there. Review the booking date, transaction type, policy, insured, effective date, gross premium, commission, net due, and totals. Select Download CSV for the carrier export. The CSV also includes the immutable transaction ID, submission number, policy expiration, taxes, fees, commission rate, currency, description, and a totals row. An admin or owner can select Sign off. Aurora cannot sign. A filed report is stored once and never rewritten, so the report the member reviewed is the report the signature attests to; Underflow checks the stored digest before recording the signature and refuses a filing whose artifact does not match it. The filing and settlement change from Ready to Signed in one transaction. Repeating the action does not replace the first signature. The CSV and screen both read the stored filing artifact after filing. They are not regenerated from mutable labels.
Carrier settlement
Open Accounting > Settlements to see what the desk owes each carrier by program-month.
After sign-off, admins and owners can select Mark paid and add a wire or check reference. Underflow refuses payment while the settlement is only Ready. This records a remittance that has already happened; it does not initiate a bank payment. A positive amount creates one paid carrier-remittance row against Premium Trust. A zero or negative amount closes without a disbursement.
