Payments in

Open Accounting > Payments and select Record payment for a check, wire, or other receipt. Record the payer type, amount, received date, method, reference, and the agency or program when relevant. Manually recorded receipts go to the Premium Trust account. The payment remains On account until it is allocated. Apply its open amount to one or more positive-balance invoices. An allocation cannot exceed either the payment’s unapplied amount or the invoice’s remaining balance. The payment and invoice must also have the same currency and the same agency, carrier program, or insured counterparty. Credit memos do not accept allocations. An invoice can also carry a Stripe-hosted payment link. Checkout records the receipt and applies it to the invoice; an excess remains on account. A refund or dispute creates negative payment and allocation rows, reopening the receivable without deleting the original receipt.
The current workbench has no reversal or delete action for a manually recorded payment. Verify the receipt before saving it and contact Underflow if it needs correction.

Import a bank statement

Open Accounting > Reconciliation, choose the account, and paste a CSV export from the bank. The import expects: posted or posted_on can stand in for date; memo or details can stand in for description. Duplicate detection uses account, date, amount, and description; it does not use the reference. Importing a genuine identical line in a later paste can therefore be skipped as a duplicate.

Match the statement

Select Auto-match to match an amount when exactly one unused record exists on the same account within 14 days:
  • A deposit matches a payment.
  • A withdrawal matches a paid disbursement.
  • Ambiguous rows remain unmatched.
For a remaining row, enter its PAY-, DSB-, or XFR- number to match it manually. Transfers are manual-only. Use Ignore for bank activity that should have no Underflow counterpart. A matched line can be unmatched, and an ignored line can be restored.
For a manual payment or disbursement match, Underflow validates the amount and, for a disbursement, Paid status. It does not verify the bank account, date, or whether the same record already explains another bank row. Confirm those details yourself. Transfer matches do verify the selected account.
The summary reports matched, unmatched, ignored, and unexplained money in and out. Reconciliation is line-based; the current screen does not close a statement period or compare an ending balance.

Money out

Disbursements and trust transfers live under Accounting > Trust. Any member can prepare a draft disbursement. Admins and owners can approve it, mark it paid, or void it. The product does not require the drafter and approver to be different people. See Trust and disbursements.
