Distribution is the register of retail and wholesale agencies and their producers. The agency that places the account with the desk is the commercial counterparty; its producers submit and service business through it. When a wholesaler sits between a retailer and the desk, the wholesaler is the producer of record here. Any split between that wholesaler and the downstream retailer stays outside the desk’s book.

Agency dossier

Each agency record holds:
  • Legal and display names
  • Primary contacts and billing addresses
  • License information and expiration dates
  • E&O coverage
  • W-9 status and tax identification details
  • Program appointments and commission terms
  • Submissions, policies, statements, and payments tied to the agency
Keeping the dossier current matters beyond relationship management. The records supply commission terms, statements, and 1099 worksheets, and make missing credentials visible to the desk.

Producer of record

The producer who submits an account holds it. Further mail from the same producer updates the file. A submission for the same account from a different producer is held, and that producer is asked for a broker-of-record letter; the incumbent is never displaced without one. When the letter arrives, the account moves to the new producer on the file that already carries the work, the held file closes pointing at it, and the change lands on the file’s timeline with the letter behind it. Aurora is instructed to refer direct insured business to a broker and not open a file. That is an operating rule in Aurora’s instructions, not a hard product constraint.

Appointments and commission

Commission terms are set per agency and program. One agency can earn different rates across products without changing the program for everyone else. Each premium transaction resolves the agency’s active program appointment. The resulting invoice or agency payable stores the commission rate used for that transaction. Changing the appointment does not rewrite existing billing rows; later transactions use the term active when they book.

Compliance record

Missing or expired licensing, E&O, or W-9 information remains visible on the agency. Underflow does not currently use dossier completeness as a universal block on quote, bind, statement issue, or payment. Finance permission is a separate control. Admins and owners can approve or record money out; contributors cannot. The 1099 worksheet includes agencies that crossed the payment threshold even when their W-9 or tax ID is missing, marking the missing value for follow-up.
